Crash and Learn

Crash and Learn is the premiere outdoor conference that offers an all-encompassing experience like no other. This resuscitation retreat is not only accredited and affordable, but it prioritizes educating clinicians that directly impact patient outcomes.

Unlike other conferences, Crash and Learn does NOT have slide presentations, business casual dress, unrelated company booths, or encouragement of a “party” atmosphere. The educational content is the highest priority. Sessions cover an array of evidence-based topics including the following:

  • Emergency Medicine
  • Austere Medicine
  • Critical Care
  • Mental Wellness
  • Aviation Safety
  • Crash Survival

Subject matter experts instruct via whiteboard lectures, hands-on workshops, and/or high-fidelity simulations. Not only are these methods proven to better promote retention of information, but attendees are able to interact directly with world-renowned educators. Additionally, instructors and students are able to spend time together before and after education sessions, so the learning never stops.

Goals

  • Foster practical, hands-on learning.
  • Challenge traditional educational norms.
  • Promote multi-disciplinary collaboration.
  • Provider real-world application.
  • Cultivate a supportive learning environment.
  • Reinforce professional growth and autonomy.

An application for accreditation has been submitted to Commission on Accreditation for Pre-Hospital Continuing Education (CAPCE).

Pre-Con Sessions

September 14, 2025

For the first time, Heavy Lies the Helmet is excited to present Crash and Learn 2025 pre-conference learning sessions unlike any other. Take advantage of this robust learning opportunity the day before registration at Healthnet’s Charleston facility and surrounding area.

Address:

Healthnet Aeromedical Services
110 Wyoming St

Charleston, WV 25302

Time:  0800 – 1700 EST (Lunch 1200 – 1300)

Up to 8 hours of Continuing Education Hours (CEH)

To maintain an individualized learning experience, participants will sign up for specific workshops upon arrival to the facility. Sessions can only accommodate a limited number of participants, so these will be awarded on a first-come/first-served basis. Participants will have the ability to attend multiple sessions. Be aware, some sessions are longer than others which will limit your ability to participate in some.

Learning Tracks

Prolonged Flight Care (4 hours)

In partnership with Anyone Not Ready (ANR), this HLTH introductory course will immerse you in a high-fidelity, air medical simulation. Adapting Prolonged Field Care (PFC) or Prolonged Casualty Care (PCC) concepts to civilian practice, this course will test your ability to manage critically ill patients and in multiple environments with minimal resources. You may even have to manage your own flight crew…

Incapacitated Pilot (4 hours)

In partnership with the National EMS Pilots Association (NEMSPA), this HLTH introductory course will immerse you in a midair, air medical incident. As a medical crew member inside a BK-117 fuselage, you will learn basic aviation, navigation, and communication concepts in the event your pilot becomes incapacitated. Land and live as soon as possible during this exhilarating session under the guidance of real HEMS pilots.

Survivor (4 hours)

In the chaos following an aircraft crash, every decision counts. Courtesy of Jim Warren, Chief of Emergency Services in Yellowstone National Park, this hands-on workshop pushes participants to apply Crew Resource Management (CRM) while battling the human factors that threaten survival. Using real-world life support equipment, you’ll learn how to execute critical survival strategies. When everything goes wrong, will your crew get it right?

Sim ‘Til You Puke (2 hours)

Rub shoulders with the likes of Dan Rauh and Dr. Amanda Humphries of HLTH in multiple rounds of emergency and critical care simulations. As a small team, you will be tasked with assessing, diagnosing, and treating critically ill patients inside a facility and/or ambulance. This intense course is designed to push the limits of your clinical knowledge and critical thinking ability, so we suggest participating BEFORE lunch.

Surgical Airway (2 hours)

Sponsored by The Resus Tailor, this skill-based workshop focuses on the art of cricothyrotomy. Utilizing state-of-the-art models, you will develop the skills necessary to perform surgical airways effectively. This course will also teach you how to quickly identify the need for this life-saving intervention while managing the stress of performing a low frequency, high risk procedure in the field.

The Summit is accessible via I-77 and I-64 (via SR-19) just outside of Beckley, WV.

Frequently Asked Questions

Why outdoors?

The outdoors is conducive to realistic learning since we often operate in this environment. It also encourages creative approaches to standard operations.

Where is the conference held?

Summit Bechtel Reserve in Glen Jean, West Virginia. This is private property owned by BSA and located approximately one hour southeast of Charleston.

Where is the closest airport?

West Virginia International Yeager Airport (CRW) in Charleston, WV.

How much do tickets cost?

$325 for an all-inclusive experience.

How do I purchase a conference ticket?

Via this custom landing page. 2024’s conference sold out in 4 minutes!

What does an All-Inclusive ticket include?

All-inclusive tickets include everything and are the only ticket you and your vehicle need to attend. Upgraded lodging, recreational activities, and cash bar require additional fees.

When will Registration Close?

You can register for the event and activities through August 15, 2025.

Do I have to be an active flight crew member to attend?

Absolutely not! Our conference includes content that is applicable to all pre-hospital and intra-hospital disciplines.

Will I get CE’s for attending?

Yes, you will receive approximately 14 Continuing Education Hours (CEH). These are applicable to nurses, paramedics, and other sub-specialities. (CME’s for advanced providers are currently unavailable.)

How many attendees will be there?

Due to the scaleability of our location, 2025’s conference does not have a ticket cap. The more the merrier!

How do I get to the conference?

Follow the directions on this page. We plan on offering shuttle services from Charleston to the conference site. We recommend utilizing rental services and/or carpooling as needed since ride-share can be limited.

How long will I be there?

The conference is 2 full days of education, but we include the days before and after in the price of admission for registration, setup, and tear-down. That means no hotel costs for 4 days! Those participating in pre-conference sessions will have an extra day of learning (Sun 9/14).

Where will I stay?

BYOT (Bring Your Own Tent). Attendees are able to choose their own site within the designated camping area to set up a tent. We also accommodate RV’s, pop-up tents, trailers, and overlanders <35 feet, though you are responsible for safely parking your vehicle. In 2025, camping is not allowed in “rustic” areas to prevent damage to the ground and/or vehicles themselves.

Will I have access to my vehicle?

You can access your vehicle at any time, but you are not guaranteed a parking spot next to your tent camping area. We will attempt to accommodate this as best we can.

What if I don’t want to camp?

You can still attend the conference! Other lodging options are available within conference grounds including a 40-room hotel, glamping, and bunkhouse options. FYI, these are not included in the price of admission but will be available for reservation at the time of ticket purchases.

Can I invite someone to stay with me if they are not a ticket holder?

Conference space is for ticket holders ONLY. Unpaid campers are strictly prohibited and will be dismissed from the property along with the paid attendee(s) who invited them without refund. 24/7 gate security will be present to barricade unwelcome guests.

What will I eat and drink?

Multiple potable water stations are available on site. Additionally, lunch and dinner are provided on both education days (9/16-/9/17). We will accommodate as many diet preferences as possible. Otherwise, it’s camping, so bring something you can eat and/or cook outside.

What if I’m flying and need fuel canisters and/or fire-starting materials?

These can be purchased in the local area, so plan accordingly. Additional equipment can be sourced en route to the campground.

Can I drink alcohol?

Outside alcohol is NOT permitted on site. A cash bar will be made available to those wanting to participate in moderate consumption after learning session hours. Belligerence will not be tolerated. Be mindful that increased altitude equates to increased effects of alcohol.

What do I need to wear?

Outdoor casual dress is strongly encouraged. This includes cold and rain outer layers and supportive footwear. Unlike other conferences, we discourage business casual dress, because it is inappropriate for the natural elements.

Where will I go to the restroom?

Porta-potties with hand-washing stations are available on site. We suggest bringing hand sanitizer and toilet tissue just in case.

Where will I shower?

There are a limited amount of ambient temperature showers. We recommend utilizing bag baths/baby wipes, powders, and other means of hygiene. Hand-washing stations are not allowed to be used for this purpose.

What will I do after each day?

The fun and networking never stop! Enjoy outdoor recreation with your fellow attendees by sitting around a bonfire, hiking up a mountain, playing a game, or zip-lining. The sky is the limit! Additionally, 2025’s conference will include a live southern/folk band playing on the night of 9/16.

Is there cell phone service?

Yes, and WiFi thanks to an AT&T sponsorship. Other major carriers are also supported.

What if it rains?

We cannot control inclement weather. With that said, the conference is RAIN OR SHINE. We will post the latest forecasts and provide some protective measures to assist comfort levels in the event of said weather. Some temporary structures are on site that will provide protection from unwanted elements.

Can I bring my pet?

Due to liability issues, only service animals or working dogs associated with educational content are allowed. Handlers must sign a liability waiver and may be questioned about the animal in line with ADA legalities. Animals that do not meet ADA criteria will be dismissed along with their owners without refund. (See Purchase Agreement.)

Can I work the conference?

Our volunteer staff has already been hand-selected, so we will not be offering these positions to the public this year.

How can my company get involved?

Sponsorships, booth space, and digital advertising are available. Please complete our sponsorship form (heavyliesthehelmet.com/cal/sponsor) for more information on how your organization can get involved.

How do I stay informed?

Listen to the Heavy Lies the Helmet podcast, read our blogs, follow our social media pages, and look for the #CAL25 hashtag!
